Best biometric attendance systems in India: how to actually choose

Every list of 'best biometric attendance systems' ranks the vendor who wrote it first. This one is written by a vendor too, so read it for the questions rather than the conclusion — the questions are the part that will save you money.

Choosing a biometric attendance system in India is mostly a software decision, because the hardware is a commodity. eSSL, ZKTeco and Realtime terminals dominate the market, are serviced by dealers in every major city, and are functionally similar at a given price point. What separates outcomes is the software behind them: whether it supports more than one manufacturer, whether fingerprint templates survive a device replacement, whether multiple branches share one register, and whether attendance produces a salary calculation or an export. Judge on those four, not on a feature list.

The hardware brands, honestly

We do not sell hardware, so there is nothing in this for us. All three of the main brands are fine, and the differences are narrower than dealers suggest.

  • eSSL — the most widely installed in India; easiest to get serviced anywhere; huge model range
  • ZKTeco — global brand with strong Indian presence; strong face terminal line-up
  • Realtime — India-based, competitively priced, widely stocked, strong dealer network
  • The right choice is usually whichever your local dealer stocks and can service same-day

The five questions that actually decide it

If you ask only these five of every vendor, you will make a better decision than any comparison table will give you.

  • Does your software support terminals from other manufacturers? (Decides whether site two needs system two.)
  • If this device is replaced or factory reset, do we re-enrol everyone? (Decides whether templates are stored centrally.)
  • Can we read attendance without going to one specific computer? (Decides whether it survives a staff change.)
  • Does attendance produce a salary figure, or an export? (Decides whether month-end is two days or ten minutes.)
  • What is the export format if we leave, and can we have that in writing? (Decides whether you are locked in.)

Categories of software, and who each suits

There are broadly three kinds of attendance software sold in India, and the right answer genuinely depends on your shape.

  • Manufacturer-bundled (eTimeTrackLite and equivalents) — free, capable, single-brand, usually desktop. Right for one site, one brand, no multi-branch ambition.
  • Per-employee HR suites — broad HR feature sets, priced per head, often weaker on device integration. Right if HR breadth matters more than attendance depth.
  • Vendor-independent attendance platforms — multi-brand device support with attendance-to-payroll depth. Right for mixed hardware, multiple sites, or where the wage bill depends on the punch. This is where AionHRMS sits.

Where AionHRMS is not the right answer

Included because a buyer's guide that never disqualifies its author is not a buyer's guide.

  • You need statutory filing (PF, ESI, TDS returns) — we compute salary but do not file
  • You need leave request and approval workflows — not built
  • Your primary need is mobile geofenced marking with no terminals — in development, not shipped
  • You need student attendance for a school — we do staff only
  • You have one site, one brand, and the free bundled tool already works — keep it

Frequently asked questions

Which biometric attendance system is best in India?
For hardware, whichever of eSSL, ZKTeco or Realtime your local dealer stocks and can service quickly — they are functionally similar. For software, judge on multi-brand support, central template storage, multi-site capability and whether it computes payroll. Those four decide the outcome; feature lists mostly do not.
Is face recognition better than fingerprint?
Face is faster, contactless and works where fingerprints have worn down; fingerprint costs less per terminal and is unaffected by lighting. Most estates end up mixing both, which is fine as long as your software records which method verified each punch.
Should we buy hardware and software from the same vendor?
Not necessarily, and there is a specific risk in doing so: your software choice becomes locked to your hardware choice, so changing one means changing both. Buying hardware locally and software independently keeps those decisions separate.
How long does implementation take?
If the terminal is already installed and networked, the software side is typically same-day: repoint the device, import your staff list, push them to the terminal. New hardware depends on your dealer's schedule.

Put your existing biometric machines on the cloud

Keep the hardware. Add cloud enrollment, multi-device sync and attendance your HR team can actually read.
