An attendance management system has three layers: capture (the biometric terminal or app that records who was present), rules (the shifts, grace periods, late penalties and leave that decide what a punch means), and outputs (the live register, the reports, and payroll). Most Indian offerings cover one layer — a machine with a report, or HR software with no serious device support. Layer one: capture that cannot be gamed

The register is only as honest as the punch. Manual registers and card-only systems fail the same way — someone else can sign, someone else can swipe. Biometric capture ties the punch to the person, which is the entire point.

A punch at 09:34 means nothing by itself. Whether it is late, which shift it belongs to, and what it does to the month's salary are decisions — and they should be made by configured rules applied identically everywhere, not by whoever maintains the spreadsheet.

The test of an attendance management system is what falls out of the far end. If the answer is a CSV, the actual system is still Excel and a person.

Shifts, late marks and the disputes they cause

An attendance system earns its keep in the argument, not the report. When an employee says they arrived at 9:28 and the system says 9:34, you need the raw punch, the terminal it came from and the verification method that was used. AionHRMS keeps all three against every record, so the conversation is about the facts rather than about whether the software is trustworthy.

The salary formula, published

The punch that opened the gate should be the punch that decides the salary. In AionHRMS each employee has their own duty times for one or two shifts, and the month's salary is computed from shift units present, paid leave, late rules and recorded advances. The formula is published here rather than hidden, because a payroll number nobody can explain is a payroll number nobody trusts.

  • Working days = days in the month − paid leaves allowed
  • Paid units = shift units present + paid leaves, capped at working days
  • Gross = per-unit rate × paid units, per shift; double-shift employees can carry a separate salary per shift
  • Late penalty applies only above the count threshold you set, after a grace period in minutes, as a flat fine or a fraction of a shift
  • Net = gross − late deduction; advances are recorded and settled against the next payment
  • Not included: filing of PF, ESI and TDS returns (PF and TDS deductions can be computed, returns are not filed), leave encashment, and payslip templates beyond this calculation

What is an attendance management system?

The full chain that turns presence into payroll: a capture method (usually a biometric terminal), the rules that interpret punches (shifts, grace periods, late penalties, paid leave), and the outputs (a live register, reports and salary). If any layer is missing, people fill the gap with spreadsheets — which is the system silently failing.

What is the difference between an attendance management system and attendance software?

The software is one layer; the system is all three. Plenty of attendance software only reads punches from one brand of machine and stops at a report — you still need the machine, the rules and the payroll from somewhere. When we say system, we mean the machine (through authorised dealers), the cloud software, the rule engine and the payroll are one purchase.

Which attendance management system is best in India?

Judge each candidate on exact-model compatibility, the biometric recovery workflow, one register across branches, and whether attendance produces a salary figure or only an export. Require written confirmation and a test punch; a brand-level support claim is not enough.

How much does an attendance management system cost?

The machine is a small one-time cost (entry fingerprint terminals sell for a few thousand rupees in the Indian market), installation is one-time through a local dealer, and software is recurring. AionHRMS prices the software as a flat annual subscription by headcount band with unlimited terminals and sites, invoiced only after go-live, so adding a terminal or a branch never grows the bill. One written quote can cover all three parts.

Can it work with the machines we already have?

Usually yes. Terminals speaking iClock/ADMS — most eSSL and ZKTeco units — and Realtime terminals repoint to our server from their own settings menu, keeping the fingerprints already enrolled. Send the model and serial and we confirm before you spend anything.

Do we need to install anything?

No. The terminal talks to our server directly and you use a browser. There is no desktop client and no local database.

Can it push employees to the device, or only read from it?

Both, for supported commands. Employee profiles and access instructions can be pushed to compatible devices. Biometric payloads are different: compatible iClock templates may be reused where formats agree, while Realtime biometrics are enrolled at the terminal. Door release also depends on the device model.

Is each branch a separate account or one account?

One account, with each branch as its own location holding its own terminals and administrators. Head office sees all of them together.

Do we pay per branch?

No. One flat annual subscription by headcount band covers every branch and every terminal in the account — a second location is not a second bill.

What is the best biometric attendance system for a small office?

For a single office under about fifty people, almost any current fingerprint or face terminal will do the job, and the hardware choice barely matters. Spend the decision on the software instead: pick something cloud-based so attendance is not trapped on one PC, and something device-agnostic so your second office does not force a second system. That is precisely the gap AionHRMS fills.

Can it handle staff who work different shifts?

Yes. Each employee carries their own duty times — single or double shift — and punches are assigned to the correct shift automatically, with break and overtime events captured distinctly. Late marks are counted against a grace period you configure, and salary is computed from the shift units actually present, with paid leave applied and advances settled. Different teams on different timings is the normal case, not an exception.

Does AionHRMS actually run payroll, or just export attendance?

It computes salary. Each employee has duty times and a salary configuration; the system derives gross from shift units present plus paid leave, applies the late rule you configured, and settles recorded advances. The monthly payroll report and per-employee attendance calendar are the outputs. Filing of statutory returns is not done by AionHRMS.

What about overtime pay?

Overtime-in and overtime-out are captured as distinct events and appear in the attendance record with their minutes. There is no overtime multiplier in the salary computation today; if you need overtime paid at a specific rate, tell our team before you commit.
