Coworking & flexible workspaces

Biometric attendance system for coworking spaces

A coworking operator sells uptime — the space simply has to work at 7 a.m. when the first member badges in. That depends on an operations team the members never see: community managers, facilities, housekeeping and security, spread thin across centres and shifts. Their attendance is the operator's real staffing record.

For a coworking operator, AionHRMS covers the operations workforce: staff attendance and door access for community, facilities, housekeeping and security teams across every centre, in one register. Each centre keeps its own terminals and local administrator, staff who float between centres are enrolled once, housekeeping vendors are granted and revoked access the same day, and shift-wise salary is computed from the punches — including split morning/evening duties. It runs on the eSSL, ZKTeco or Realtime terminal at the staff or service entrance.

Small teams, many centres, constant motion

Coworking staffing is thin by design — two or three people per centre, floaters covering leaves, vendors doing housekeeping and security on contract. Per-centre attendance tools turn that fluidity into a monthly reconciliation exercise.

  • Staff and floaters who work at different centres in the same week
  • Vendor teams — housekeeping, security — whose people change without notice
  • Centre openings and closings that must not mean new attendance systems
  • An operations head who needs this morning's staffing across all centres, from a phone

One register across every centre, access included

The multi-location model fits coworking exactly: local autonomy per centre, one truth for the operator, and the terminal doubling as door control for staff and vendors.

  • Every centre in one account; a centre manager sees their centre, head office sees all
  • Floaters enrolled once and recognised at every centre they serve
  • Vendor staff granted access on joining and locked out the day they are replaced
  • Denied entry attempts recorded — useful evidence for service-level talks with vendors
  • Shift-wise salary for the operator's own staff, computed from the same punches

Frequently asked questions

Does this manage member (customer) access to the space?
Our scope here is the operator's own workforce and vendors — staff attendance, staff and vendor door access, and payroll. Member access management ties into billing and booking systems, which is a different product. If member access is your main need, tell us before you commit and we will say honestly whether we fit.
Can one housekeeping supervisor cover four centres?
Yes. They are enrolled once, pushed to the terminals at all four centres, and every punch records which centre and terminal it came from — so their day reconstructs itself without a phone call.
We open a new centre every quarter. What does that involve?
Add the centre to the account, point its terminal at our server, and push the relevant staff to it. No new installation, no new logins, no new spreadsheet — one register grows by one column.
Can vendor attendance be shared with the vendor?
You can export attendance for the period and people in question, and every punch carries its terminal, time and verification method — which is exactly the record disputes need. A vendor-facing login is not something we offer today, and we would rather say so.
