Devices: register a terminal, and it starts talking to the cloud
A terminal is registered by its serial number with the protocol it speaks: iClock / ADMS for eSSL and ZKTeco, or Realtime's own protocol. On the device you set the server address and it pushes every scan directly; nothing is installed at your site and no PC stays on. Scans from a serial number that is not registered are rejected, so register first and point the device second.

Employees: one record per person, with the settings that decide their pay
Each employee record holds the things payroll and the register depend on: the employee code on the device, department, reporting manager, whether the person can sign in to the portal, their duty time (one or two shifts), weekly off, leave rules, salary record and documents. Joining and exit dates are editable; leavers are archived, not deleted.
- Duty time per employee, single or double shift, so a trainer on 06:00 to 10:00 and 17:00 to 21:00 is two shifts, not a long day
- Weekly off and holidays resolve employee → department → company; whichever layer answers first is what the calendar, the register and salary use
- Leave quotas per type resolve the same way, so one person can keep the department's quota and have one type switched off
- Portal login is off by default; switch it on, or the person cannot apply for leave, claim comp-off, request a correction or see a payslip
- Salary records are never edited: each save adds a new one with an effective date, so a raise is a new record and history stays intact
Attendance: the first scan is the in time, the last scan is the out time
Every day gets one status, worked out on the fly from the raw punches: present, absent, weekly off, holiday, half day or a leave letter. In time is the first scan of the shift, out time the last, duration the difference. Late-by is the first scan against the shift start plus a company-wide grace period. Nothing is posted or closed: correct a day and every total that depends on it changes immediately.
- A single scan still counts as present; the report prints 'No out punch' and duration stays at zero rather than being invented
- A punch on a weekly off or holiday makes the day present; comp-off is how a worked closed day is rewarded
- Punches are never edited or deleted; a correction is a separate mark laid over the day, with a reason, and removing it restores what the machine recorded
- A CSV of punches from a previous system can be imported, so history does not start from zero on day one
Leave: types, holidays, weekly offs and the approvals queue
Leave types carry a kind (casual, privilege, sick, loss of pay, comp-off and more) that decides the letter on the register and whether the late policy may deduct from it. Holidays apply to the whole company, one department or one employee, and the scopes add up. Short leave is measured in hours and excuses a window of lateness without touching pay. Optional holidays are a published list the employee picks from.
- A request is decided by the reporting manager or by HR, whoever acts first; the employee is emailed the decision with the approver's note
- Days cost what they cost: a Friday-to-Monday request over a Saturday and Sunday weekly off is two days, not four
- Comp-off is claimed only against a closed day the attendance record shows was actually worked
- Loss-of-pay is a leave type with pay switched off; it prints as LOP and earns nothing
Payroll: the month computed from the punches, one row per person
Pick a month and every employee appears with shifts present against total, late marks, deduction, outstanding advance and the payable figure. The arithmetic is published: units earned are shifts present plus leave credit, capped at working days; the rate is monthly salary divided by working days times shifts; gross is rate times units; payable is gross minus any late deduction. Full attendance always pays exactly the configured salary.
- Amber flags on anyone whose duty time or salary is not set, because a payroll with unknown inputs is not a payroll
- Advances are recorded with the expense booked at the same time and are netted off the next salary payment
- Paying a person writes the payment, settles the advances and books the expense in one step; a month is paid once per person and the payment is a snapshot
- PF and TDS deductions are optional and off by default; when on, the basic-salary split, the PF ceiling and the new-regime TDS slab are applied and shown on the payslip. Returns are not filed by AionHRMS
- The whole month downloads as CSV
Reports and registers: seven reports, two statutory forms
Daily attendance register, monthly and weekly detailed attendance, monthly summary with the status letters, late arrivals and early departures, absentees and continuous absence, and the raw device punch log, each on screen and as CSV or Excel. Scheduled reports email up to ten addresses daily, weekly or monthly. Registers produce Form 26 (muster roll) and Form 21 (annual return) under the Delhi Factories Rules as PDF.
- The device punch log is the scans exactly as the terminal sent them, which is what settles a dispute
- Continuous absence of three or more days is flagged on the absentees report
- Report schedules are created switched off; nothing is emailed until you turn one on
Settings: roles, permissions, late rules, WhatsApp
Owner, front desk and HR roles with a permissions tab that decides which pages each role can open; payroll access is a permission the owner grants. Two late systems exist, both off by default: an automatic pay rule (late marks over a threshold become a fixed fine or a fraction of a shift) and a late policy that deducts leave instead of money, previewed before it is recorded. Companies outside India run in their own currency and phone format. A WhatsApp inbox connects a company number for staff messages.
- One login can hold roles in several companies and switch between them
- Any page a company does not use can be switched off per role, and the server refuses its data either way
- Account deletion is handled by the company's HR team, not from inside the app
