Biometric terminals, installation and cabling, where needed, are quoted separately by the authorised dealer who installs them. Existing eSSL, ZKTeco and Realtime terminals are usually repointed at no hardware cost. Prices are exclusive of GST. Confirm the written quote before purchase. Attendance data and device-enrolment data, including face photos where a supported workflow requires them, are hosted on infrastructure in India by default. What a biometric attendance system costs, line by line
The three costs, separated
Quotes usually blend these, which makes comparison hard. Separating them tells you where you are actually spending.
- Terminal — one-time. Fingerprint units cost less than face units; both are commodity-priced across Indian dealers.
- Installation — one-time. Mounting, power and network. Best done by a local dealer who can return if something fails.
- Software — recurring. This is where the range is widest and where the real decision sits.
- Often overlooked: the cost of re-enrolling everyone when a device is replaced and templates were only stored on it.
Can you avoid the hardware cost entirely?
Frequently, yes — and this is the single most common way organisations reduce the total. If you already own a supported terminal, the hardware line item disappears.
- Most eSSL, ZKTeco and Realtime terminals can be repointed at our server
- Repointing does not erase fingerprints already enrolled on the device
- We confirm compatibility from your model and serial before anyone quotes you
- If your terminal genuinely will not work, we say so rather than sell around it
Pricing questions
- What does AionHRMS cost?
- Free for up to 10 employees; then ₹25,000 per year for up to 100 employees, and ₹50,000 per year for up to 500 employees. Above 500 employees: quoted for the organisation. That is a flat annual subscription by headcount band with unlimited terminals and sites across the organisation — there is no per-employee-per-month meter. Prices are exclusive of GST. Confirm the written quote before purchase.
- Is there a free plan?
- Yes. Up to 10 employees is free — one terminal, one site, email support. It is the full attendance and shift-wise payroll product, not a trial, and it stays free. When you cross 10 employees you move to the up to 100 employees band.
- Where is our data hosted?
- Attendance data and device-enrolment data, including face photos where a supported workflow requires them, are hosted on infrastructure in India by default. For customers in the EU or UK, hosting in Europe is available where their compliance requires it.
- When do we pay?
- The subscription is invoiced only after your devices are live and syncing. There is no setup or implementation charge. We would rather be paid for a system that is running than for a promise — and it means the integration risk is ours, not yours.
- Is it priced per employee?
- No. The band is set by your headcount, and within the band the bill does not change — hiring ten more people, adding a terminal, or opening a second site costs nothing extra. Per-employee-per-month pricing punishes exactly the organisations biometric attendance suits best: factories, schools and agencies with large, changing headcounts.
- Do I have to buy new hardware?
- Many eSSL, ZKTeco and Realtime models expose a configurable server setting, but compatibility is model-, protocol- and firmware-specific. Send the model and serial number and we will confirm before anyone quotes a replacement. If you need terminals, we suggest tested models and the installing dealer quotes hardware and cabling separately.
- How much does a biometric attendance machine cost in India?
- Terminals are commodity-priced and vary mainly by whether they do fingerprint only or face as well, and by build quality for harsh environments. Your local dealer will quote current pricing — we do not sell hardware, so we have no interest in that number either way.
- Is it cheaper than per-employee software?
- For anything above a very small headcount, materially so, and the gap widens as you hire. For a ten-person office, per-employee pricing may well be cheaper — we will tell you that rather than pretend otherwise.
- What happens to the price if we add a second branch?
- Nothing, within your headcount band. Sites and terminals are unlimited in one account, so a second location joins the same register at no extra software cost.
- Is there a free trial or demo?
- Yes to both. A demo is a call with screen share, at a time you choose. A trial is arranged with you rather than a self-serve button, because setup involves repointing a physical device — and since the subscription is only invoiced after go-live, the trial and the rollout are effectively the same thing.
- What happens to my data if I stop paying?
- Your attendance data remains exportable. Ask us for the export format in writing before you sign — and ask every other vendor you are evaluating the same question.
