A SmartOffice Payroll alternative when the bill should not multiply by heads

SmartOffice Payroll is a Bangalore-built attendance and payroll platform that has been at it "Since 2012", holds ISO 27001 and ISO 9001, runs on Microsoft Azure, and does something most Indian vendors avoid: it publishes its rates. If you want statutory filing, performance reviews and an on-premise option from one supplier, it is a reasonable shortlist entry and this page will not pretend otherwise. It is written for the buyer who did the multiplication on that published rate card and noticed what happens at the third module and the second hundred employees. Every SmartOffice fact below is from smartofficepayroll.com as published on 11 September 2026.

SmartOffice Payroll prices its cloud product per employee per month, by module: Attendance at ₹10 Lite and ₹15 Enterprise, Payroll at ₹30 and ₹50, HRIS at ₹15 and ₹30, and performance management at ₹30, with the note that "A combination of Device count with employees count is considered". It files statutory returns, offers GPS and geofenced mobile attendance, and sells an on-premise version. AionHRMS is attendance-first and priced as a flat annual band: free up to 10 employees, ₹25,000 a year up to 100 and ₹50,000 up to 500, exclusive of GST, with unlimited biometric terminals and unlimited sites, invoiced only after the devices are live. Confirmed eSSL, ZKTeco and Realtime terminals push punches straight to the cloud with nothing installed at the site, and the same punches compute shift-wise salary. SmartOffice is the better buy for a small team, or when statutory filing, performance management or on-premise deployment are the purchase. AionHRMS is the better buy when headcount, module count or terminal count would otherwise keep moving the bill.

What SmartOffice Payroll is, fairly

SmartOffice Payroll (smartofficepayroll.com) describes itself as a company that will "Automate your Attendance, payroll, statutory compliance and IT compliance effortlessly", operating from Bangalore with a presence in Mumbai and Delhi and customers abroad. Its published credentials are real and itemised, and several of them are ahead of ours.

  • ISO 27001 and ISO 9001, both stated as held. AIONDATA holds ISO 9001:2015 and is only SOC 2 Type II ready, so on information-security certification SmartOffice is ahead of us today and this page says so plainly.
  • Statutory payroll that actually files: "ready to upload PF & ESI Challans, IT Declaration, TDS Calculations, and F-16, 24Q (TDS) returns", plus advance, overtime, arrears, bonus, gratuity and full and final settlement. AionHRMS computes salary and does none of this.
  • An HRMS module with digitised onboarding, HR letters and document templates with expiry reminders, employee event notifications, a help desk, "Performance & OKR", surveys and exit management. AionHRMS has none of those.
  • Attendance features with real depth: flexible shift, "Roster Management that makes it easy to plan shifts weekly or monthly", "Auto Shift", and overtime you can "approve or reject", plus GPS clock in and out with geofencing and a mobile app. AionHRMS also supports online geofenced punches at enabled company locations.
  • A choice of "Cloud (SAAS)" on Microsoft Azure or "On-Premise". AionHRMS is cloud only, so a buyer whose policy requires software inside their own building should stop reading here and talk to SmartOffice.
  • Scale claims worth asking about rather than dismissing: its site publishes both "5000 Attendance Clients" and "200,000+ Clients Nationwide", along with "10 Million+ Employee Attendance Managed" and a 4.8 Google rating. Ask which figure covers which product before you quote it to your board.

Pricing: a monthly multiplication versus an annual band

SmartOffice's pricing page (11 September 2026) lists cloud rates per employee per month: Attendance ₹10 Lite and ₹15 Enterprise, Payroll ₹30 and ₹50, HRIS ₹15 and ₹30, performance management ₹30 Enterprise. It states "You need to pay as per your employee headcount on monthly basis. You can scale up or scale down anytime", and adds that "A combination of Device count with employees count is considered". No minimum headcount or setup fee is shown, and on-premise rates are not published. AionHRMS is free up to 10 employees, then ₹25,000 a year up to 100 and ₹50,000 up to 500, exclusive of GST, unlimited terminals and sites, invoiced after go-live. At list, before taxes:

  • 25 employees, attendance and payroll on Lite: 25 × ₹40 × 12 = ₹12,000 a year. AionHRMS: ₹25,000. SmartOffice is cheaper, and for a team this size it is the better-value buy on price alone.
  • 100 employees, attendance and payroll on Lite: 100 × ₹40 × 12 = ₹48,000 a year. On Enterprise: 100 × ₹65 × 12 = ₹78,000. AionHRMS: ₹25,000.
  • 500 employees, attendance and payroll on Lite: 500 × ₹40 × 12 = ₹2,40,000 a year. On Enterprise: ₹3,90,000. AionHRMS: ₹50,000.
  • Attendance alone tells a different story and we will not hide it: at ₹10 Lite, 100 employees is ₹12,000 a year against our ₹25,000, and SmartOffice stays cheaper on attendance alone until roughly 400 employees. Our band buys shift payroll, the employee portal and unlimited terminals alongside the attendance, so it is not the same purchase, but on attendance alone at a small headcount they win.
  • The crossover on attendance plus payroll is about 52 employees: below that SmartOffice's Lite combination costs less than our ₹25,000 band, above it ours does, and the gap widens with every hire.
  • The line to get in writing is the device one. "A combination of Device count with employees count is considered" is the only sentence on either rate card that could change your quote after you have chosen. Ask what each additional terminal costs. Ours cost nothing, at any number of sites.

Hardware: "seamlessly integrate into your existing infrastructure" needs one follow-up question

SmartOffice's attendance page describes "Fingerprint Device Management solutions" that "seamlessly integrate into your existing infrastructure". On the pages we could load it does not name a device brand, state a protocol, or say what runs at your site to move punches from the terminal to the software. Its parent company name includes biometric solutions, so it may well supply the terminals too, which is convenient for a single-vendor buyer and worth understanding before you sign.

  • Ask SmartOffice, in writing: which third-party brands and exact models do you support, does the device push to your cloud or does software at our site read it, and what happens to punches during a week when that machine is off?
  • AionHRMS answers the same questions on its own pages: a confirmed eSSL or ZKTeco terminal is repointed from its own Comm or ADMS menu over the iClock/ADMS push protocol, and a confirmed Realtime terminal over its native protocol. Nothing is installed at your site, no static IP, no sync PC.
  • Brand alone is never compatibility evidence, ours included. We confirm the exact model, serial and firmware and prove a test punch before a rollout, rather than publishing a list of brands.
  • Mixed estates behave as one system: an eSSL at the head office and a Realtime at the plant report into the same register, with the terminal name on every punch.
  • Where the model supports it, the same terminal guards the door: lock or unlock a person everywhere from the browser, log denied attempts, release a door remotely. Attendance and access in one register.
  • Employee codes carry over from any previous software. Keep the ID the terminal already holds on the AionHRMS record and no one re-enrols a fingerprint.

After the punch: filing breadth versus shift depth

SmartOffice takes the punch all the way to a filed return and onward into onboarding, letters and appraisals. AionHRMS takes it into a narrower set of things and does each with the specific arithmetic of an Indian shift floor. Which of those you need is the whole decision.

  • AionHRMS payroll: per-employee duty times, single or double shift with a separate salary per shift, punches bucketed to the right shift automatically, night shifts landing on the right date, grace period, late-count threshold, penalty as a flat fine or a fraction of a shift, paid leave, advances settled against future pay, monthly payroll report.
  • AionHRMS employee portal: phone-OTP sign-in, leave requests and manager approvals with leave types, quotas, holidays, weekly offs and half days, missed-punch correction requests, on-screen payslips, a documents shelf, and an exit date that switches off login and device access on the day.
  • Not built, plainly: PF and ESI challans, IT declarations, TDS returns, Form 16 and 24Q, full and final settlement, gratuity and bonus, onboarding workflows, HR letters, help desk, performance and OKR, and surveys. PF and TDS deductions can be computed on the payslip; nothing is filed. AionHRMS supports online geofenced mobile marking at enabled company locations. Check wider HR-suite functions separately.
  • The split many companies run: AionHRMS at the gates, with attendance flowing through its partner API or the monthly report into whatever files the returns, including a CA's own software.

Deployment and security: read both statements side by side

This is the section where we lose a row, and it is better that you read it here than discover it in a security review.

  • SmartOffice states ISO 27001 and ISO 9001 and hosting on Microsoft Azure, and offers an on-premise deployment. AIONDATA states ISO 9001:2015 certified, CMMI Level 3 appraised, and SOC 2 Type II, GDPR and HIPAA ready. Ready is not an issued attestation, and we do not present it as one.
  • Where AionHRMS is more specific: attendance and device-enrolment data are hosted on infrastructure in India by default, with Europe available for EU and UK customers where their compliance requires it. Raw enrolment payloads are excluded from ordinary exports and the partner API.
  • AionHRMS is cloud only. If your policy requires the application inside your own building, SmartOffice's on-premise option is a genuine answer and we have none.
  • Role-scoped human access; scoped API keys stored as SHA-256 hashes, with per-minute rate limits and a full request log on every key.
  • Put the same three questions to both vendors in writing: where is the data hosted, which certifications does the company itself hold as against its cloud provider, and what is the export format if we leave.

For statutory filing, performance management, onboarding workflows or an on-premise deployment, compare SmartOffice. AionHRMS supports online geofenced punches at enabled company locations. Decide which of those is the thing you are actually buying.

How much does SmartOffice Payroll cost compared with AionHRMS?

Its attendance page describes "Fingerprint Device Management solutions" that "seamlessly integrate into your existing infrastructure" but does not name device brands or state the integration method on the pages we could load, so ask them directly which exact models they support and whether the device pushes to their cloud. AionHRMS runs confirmed eSSL, ZKTeco and Realtime terminals over the terminal's own push protocol with nothing installed at your site.

Does AionHRMS handle PF, ESI and TDS like SmartOffice Payroll?

No. AionHRMS computes shift-wise salary from attendance and produces a monthly payroll report; PF and ESI challans, TDS, Form 16 and 24Q returns are not generated or filed. SmartOffice publishes all of them. If statutory filing must live in the same product, that is a straightforward point in SmartOffice's favour, and many companies instead pass our monthly report to their CA.

Can we keep our biometric machines if we move from SmartOffice Payroll?

Almost certainly, if they are eSSL, ZKTeco or Realtime terminals with a server setting in their menu. The machines are yours, the templates stay on them, and repointing changes only where the punches go. Keep the same employee codes and nobody re-enrols. Send the model, serial and a photo of the Comm menu and we will confirm before anything changes.

Does AionHRMS offer an on-premise version?

No. AionHRMS is cloud only, by design: the terminal pushes to our server, which is what removes the PC from your site. If your policy requires the application inside your own building, SmartOffice publishes an on-premise option and we do not compete for that requirement.
