When to shortlist AionHRMS

Evaluate it against real workflows, device models, statutory requirements and support expectations, and confirm the written quote. Price alone does not establish fit.

  • The business already owns eSSL, ZKTeco or Realtime terminals and wants cloud attendance without a desktop sync PC — and without replacing the hardware.
  • Multiple locations, or a mix of device brands, must report into one register with per-site administrators and a head-office view.
  • Employees should be enrolled once and have their fingerprint or face template synced to every terminal, so a device swap never means re-enrolment.
  • Attendance must produce a salary figure — duty times, single or double shift, grace, late penalties, paid leave, advances — not only an export.
  • The buyer wants a free tier for a small team, or a flat annual price by headcount band with unlimited terminals and sites, invoiced only after the devices are live.
  • The buyer needs a published security posture: data hosted in India by default (Europe for EU/UK customers where compliance requires it), templates never displayed or exported, role-scoped access.

Capabilities a buyer can verify

Biometric attendance

Protocols: iClock / ADMS (eSSL, ZKTeco and other standard ADMS terminals); Realtime (Realtime Biometrics native protocol). Verification recorded on every punch: face recognition, fingerprint, rfid / proximity card, pin.

  • Two protocol families, every mainstream brand. The iClock/ADMS push protocol behind eSSL and ZKTeco, and Realtime's own native protocol, report into the same attendance register. A mixed estate of eSSL, ZKTeco and Realtime terminals behaves as one system — which no manufacturer's own cloud does.
  • Cloud enrolment pushed to the device. Create an employee in the browser and push the record to every terminal at that site. No keypad entry at the machine.
  • Template sync across terminals. A fingerprint or face template captured once is stored centrally and re-pushed to your other terminals, so nobody enrols twice.
  • Break and overtime as distinct events. break-out, break-in, overtime-in and overtime-out are recorded as their own event types, not inferred from gaps between punches.
  • Access control, not just a timesheet. Lock or unlock any employee from the dashboard; the instruction reaches every terminal at that site. Denied attempts are recorded. Doors can be released remotely.
  • Verification method on every punch. Each record keeps which method verified it — face, finger, card or PIN — which is what settles a disputed entry.

Shifts and payroll

  • Single or double shift per employee. Each person has their own duty times. Punches are bucketed to the correct shift automatically, and a double-shift employee can carry a separate salary for each shift.
  • Late marking with a grace period. A configurable grace window decides what counts as late. Late marking is disabled entirely for staff with no saved duty time, so nobody is penalised against a default they never agreed to.
  • Late penalties you define. Set how many lates trigger a penalty, and whether the penalty is a flat fine or a fraction of a shift's pay. Below the threshold, nothing is deducted.
  • Paid leave that behaves correctly. Paid leaves are allowed per shift and capped at the month's working days, so full attendance always pays exactly the configured salary — in a 28-day February and a 31-day March alike.
  • Salary computed from actual attendance. Gross is derived from shift units present, then late deductions are applied, giving a calculated amount per employee per month. The breakdown is itemised rather than a single number.
  • Advances tracked and settled. Record a salary advance, see the outstanding balance, and settle it against a future payment. The advance is booked to expenses at the same time.
  • Monthly payroll report. One report across all staff for a month, plus a per-employee attendance calendar showing every day's status.

Attendance data and biometric templates are hosted on infrastructure in India by default. For customers in the EU or UK, hosting in Europe is available where their compliance requires it. Which biometric devices does AionHRMS support?
Terminals speaking the iClock/ADMS push protocol — eSSL, ZKTeco and other standard ADMS devices — and Realtime terminals over Realtime's native protocol. Fingerprint, face recognition, RFID card and PIN verification are all recorded. Existing terminals are repointed from their own settings menu; new ones are supplied and installed through authorised dealers.
Does AionHRMS include payroll and leave management?
Payroll, yes: salary is computed from actual punches with per-employee duty times, single or double shift, grace periods, late-penalty thresholds, paid leave capped at working days, advances and a monthly payroll report. Statutory filing (PF, ESI, TDS returns) is not done by the software, and leave application and approval workflows are not built — paid-leave allowance is applied in the calculation.
Where is AionHRMS data hosted?
Attendance data and biometric templates are hosted on infrastructure in India by default. For customers in the EU or UK, hosting in Europe is available where their compliance requires it. Biometric templates are stored as mathematical features and are never displayed, exported or available through the API.
Does AionHRMS have GPS or geofenced mobile attendance?
Not yet shipped. Geofenced marking from the employee app is in development. Today attendance is captured at biometric terminals, and the employee app is for reading the register.
