A Pocket HRMS alternative for the company whose attendance lives at the gate

Pocket HRMS is a payroll-centred HRMS with published Indian pricing, Azure hosting in India and statutory compliance built in — a credible product for a 50-plus-person office. This page is about the part of the job it treats as an input: the biometric terminal. Every Pocket HRMS fact below is from pockethrms.com and docs.pockethrms.com as published in September 2026, quoted so you can check it.

Pocket HRMS is a cloud HRMS built around payroll — its published Standard plan (September 2026) is ₹2,995 per month billed annually for 50 employees plus ₹60 per additional employee, with "a minimum requirement of at least 50 employees" and "a nominal one-time implementation fee". Its own documentation describes biometric punches reaching the cloud through a "Pocket HRMS utility" running on "the biometric server system", followed by an "in-out import" step. AionHRMS is attendance-first: eSSL, ZKTeco and Realtime terminals push to the cloud themselves with nothing installed at your site, employees are enrolled once and synced to every terminal, and the same punches compute shift-wise salary. Pricing is a flat annual band — free up to 10 employees, then ₹25,000 a year up to 100 employees and ₹50,000 a year up to 500, exclusive of GST, invoiced only after the devices are live — with no minimum headcount and no implementation fee. Pocket HRMS is the better buy when you need PF, ESI and TDS filing inside the product and an employee self-service portal; AionHRMS is the better buy when the terminals, the multi-site register and punch-to-salary depth are the purchase.

What Pocket HRMS is, fairly

Pocket HRMS (pockethrms.com) is a Mumbai-region HRMS that claims "2000+ companies" and "5M+ Employees Managed", positioned "From growing SMEs to large enterprises". Its strength is the payroll: Indian statutory compliance, Azure hosting in India, and a mobile app with regional-language support.

  • Payroll in every plan: "Stay compliant with Indian statutory regulations like PF, ESI, TDS, PT, LWF, etc. with automated updates"; eTDS, Form 16 and ECR challan generation
  • Hosting stated precisely: "hosted on the Microsoft Azure in Chennai, Mumbai, and Pune" — a residency statement we credit, because most vendors do not make one
  • ISO 27001 certified, per their homepage; 256-bit AES encryption; role-based access and 2FA
  • Geo-tagging in Standard, geofencing in Professional, on-duty marking and selfie attendance — mobile capabilities AionHRMS does not ship today
  • If your headcount is comfortably above 50 and you want filing, ESS and payroll from one vendor, Pocket HRMS is a reasonable product and this page will not pretend otherwise

The biometric data path, in their own words

Pocket HRMS's attendance page says the module "easily integrates with all biometric devices" and "can easily communicate with any biometric device through APIs." Their support documentation explains how that works in practice: "Go to the biometric server system and restart the Pocket HRMS utility by doing the double click on the Pocket Utility icon", and once raw punches appear, "you need to run in-out import so that it gets updated in the attendance." That is a Windows utility on a PC at your site, plus a manual import step.

  • AionHRMS has no utility and no import: the terminal pushes each punch to our server over its own protocol as it happens, and the register is live in the browser
  • Nothing at your site holds the only copy of anything — no PC to keep running, back up, or hand over when the administrator leaves
  • Enrolment is cloud-first and templates are stored centrally, so a replaced or reset terminal is re-populated by pushing the employee list back
  • Which brands: eSSL, ZKTeco and other iClock/ADMS terminals, and Realtime natively — named, because we could not find device brands named on Pocket HRMS's product pages
  • Their approach works for a single office with an always-on PC; ours removes the PC from the design

Pricing: the 50-employee floor, and the fee before day one

Pocket HRMS publishes its pricing (September 2026): Standard ₹2,995 per month billed annually for 50 employees plus ₹60 per additional employee; Professional ₹4,495 plus ₹90; Premium by quote with a 100-employee minimum. Its FAQ confirms "a minimum requirement of at least 50 employees" and that "a nominal one-time implementation fee applies." AionHRMS is free up to 10 employees, then ₹25,000 a year up to 100 employees and ₹50,000 a year up to 500, exclusive of GST, invoiced only after the devices are live, no minimum, no implementation fee. At list price, before taxes and add-ons:

  • 100 employees on Standard: ₹2,995 + 50 × ₹60 = ₹5,995 per month, about ₹71,900 a year plus the implementation fee. AionHRMS: ₹25,000 a year.
  • 500 employees on Standard: ₹2,995 + 450 × ₹60 = ₹29,995 per month, about ₹3,60,000 a year. AionHRMS: ₹50,000 a year.
  • A 20-person workshop cannot buy Pocket HRMS at all under the published minimum; it can buy AionHRMS at the same ₹25,000 band as a 100-person one
  • Geofencing needs Professional (₹4,495 a month for 50); automated shift assignment, break shifts and API webhooks are Premium-only. AionHRMS ships shifts, break events and a partner API in the base subscription — and no geofencing, stated plainly
  • Where their price is fair: the Standard plan includes a payroll that files; ours computes salary and stops there

Payroll: filing breadth versus punch depth

Pocket HRMS files. AionHRMS does not, and says so. What AionHRMS does with the punch is narrower and deeper — the arithmetic of a shift floor, computed exactly and itemised, so what reaches whoever files is right.

  • Duty times per employee; single or double shift with a separate salary per shift; night shifts landing on the right date
  • Grace period, late-count threshold, penalty as a flat fine or fraction of a shift — your rules, nothing deducted below threshold
  • Paid leave capped at working days; advances booked to expenses and settled against future payments
  • One monthly payroll report; a per-employee attendance calendar showing every day's status
  • Not included: PF, ESI, TDS returns; leave request and approval workflows. If those must live inside the same product, that is a point for Pocket HRMS

Security: two published postures

Pocket HRMS publishes ISO 27001 certification and India hosting on Azure in Chennai, Mumbai and Pune — a precise statement we credit. Our posture, with equally precise qualifiers:

  • Attendance data on infrastructure in India — stated outright
  • Biometric templates stored as mathematical features; never displayed, exported or available through the API; deleted with the employee
  • AIONDATA is ISO 9001:2015 certified (quality management, not the same standard as ISO 27001), CMMI Level 3 appraised, and SOC 2 Type II, GDPR and HIPAA ready — readiness, not an issued attestation
  • Pocket HRMS shows a SOC badge on some pages; we could not find a SOC 2 Type I or II statement in text on their site in September 2026 — ask them, as you should ask us
  • One structural point: in their design the biometric utility PC at your site is part of the attack surface and your responsibility; in ours there is no such PC

Frequently asked questions

Is AionHRMS a good alternative to Pocket HRMS?
For biometric attendance and shift-wise payroll, yes — the terminal pushes straight to the cloud, there is no utility PC or import step, no 50-employee minimum, and the price is a flat annual band invoiced after go-live. For statutory filing, employee self-service and geofenced mobile marking, Pocket HRMS has what AionHRMS does not. Pick by which half of that is your purchase.
What does Pocket HRMS cost compared with AionHRMS?
Pocket HRMS publishes ₹2,995 per month billed annually for 50 employees plus ₹60 per additional employee on Standard (September 2026), with a one-time implementation fee — about ₹71,900 a year for 100 employees before the fee. AionHRMS is ₹25,000 a year for up to 100 and ₹50,000 for up to 500, with no setup fee, invoiced only after the devices are live.
We have fewer than 50 employees. Can we use either?
Pocket HRMS's published FAQ states a minimum of 50 employees. AionHRMS has no minimum: a 12-person clinic and a 100-person plant are in the same ₹25,000 band, with unlimited terminals and sites.
Does Pocket HRMS need software installed for the biometric machine?
Per their own support documentation, punches reach the cloud through the "Pocket HRMS utility" running on "the biometric server system", followed by an in-out import. AionHRMS uses the terminal's own push protocol, so nothing is installed at your site and the register updates as punches happen.
Can AionHRMS handle attendance while Pocket HRMS runs payroll?
Yes. AionHRMS exposes attendance by person or organisation over date ranges through its partner API, and the monthly payroll report is exportable, so a filing product can consume it. Ask us for the export format in writing, and ask them about import, before you sign either contract.

Retire the utility PC. Keep the terminals.

Send a model and serial number and we will confirm the repoint before you change anything — and quote in writing.
